Welcome! As we look to starting the 2023-2024 school year, we know there are many questions that you have as you look to make plans for starting school this August. The topics listed below will be a helpful guide in preparing for the new year. We encourage you to expand each topic to see greater detail.

  • Orientation/ First Day of School

  • Closed Weekends for 2023-2024 School Year

    These weekends will be fully or partially closed for our boarding students for the 2023-2024 school year:
    Fully or partially* closed means that boarding students should expect to remain on campus for the entire weekend or until posted by the Student Life Office.
    • September 1-3: Class Challenges
    • September 29th- Oct 1: Homecoming and Parents Weekend
    • TBD: Portledge Day in the Fall until after the last game*
    • December 15-17: Last weekend before break
    • February 10: Lunar New Year Celebration until after the Fireworks*
    • TBD (Spring): International Festival*
    • May 17-19: Class Challenges, General Inspection, Exam Study, Dorm Chapels
    • May 24-25: Commencement 
    • Any open dorm where your child’s dorm is the host (once in the fall and spring term). *They may leave after the conclusion/clean up of the event.*
    • Some weekends may be partially closed due to mandatory athletic events. The Athletic Office and Student Life Office will work together to notify the students and parents no later than two weeks before the date selected as a mandatory match or game.
  • Stateside Emergency Contact

    All boarding students are required to have a local guardian who is able to pick up and house their child for the reasons listed below. All guardians will be contacted to verify that they are willing and able to meet our requirements as a boarding school. If you do not provide a reliable and able local guardian, or if they are out of town when your child needs to leave campus, the school will automatically enroll your child in Student Health Advocates (SHA) and charge your school account. This is to ensure that our students are receiving the best care while not under our watch.

    • For severe illness, health emergencies, or if a quarantine is necessary, the student must be picked up from campus within 24 hours of contact. The Stony Brook School will not have the ability to quarantine students as our dormitories will be at full capacity during the 2023-2024 school year.
    • In the event that a student is found to have violated a major school rule and is suspended or dismissed from the School, the student will be required to leave campus the same day. Parents or guardians must be prepared to make the necessary travel arrangements. The school recognizes that for our boarding students suspensions and dismissals from school can be especially challenging because of the last-minute travel arrangements that are required. The School will do its best to communicate with parents or guardians in a timely fashion whenever the possibility of a suspension or dismissal is at hand.     • The local guardian should also be able to provide housing when campus is closed over major breaks (Thanksgiving, Christmas, and Spring/February Break).
    • In the case of a mental health emergency, the parents are responsible for picking up their child within 24 hours (domestic parents) and within 48 hours (international parents). The Counseling Office will determine what is a mental health emergency and be in contact with the parents immediately, should one arise. In this instance, the parents, and only the parents, will need to pick up their student directly from campus.
  • Questions About Vaccination and Quarantine

    To promote health in our school community, the School strongly recommends that individuals receive the vaccine if they are able, but we are not requiring it for students and employees. New York State has not communicated any plans to require vaccination for students and school employees, but we would be subject to any mandates from the State should it become a requirement. We will update families should any changes occur to this policy.

    At this time, New York State is not requiring any quarantining or testing for asymptomatic domestic or international travelers.

    Please note that the School does not have space to host students for an extended quarantine if they contract COVID 19. Families should have a plan to pick up their student within 48 hours in the event that their student needs to quarantine, especially if they elect to not receive the vaccine before coming to campus this August.
  • Submitting Payment

    To make a payment for 2023-2024 please submit payment directly to Blackbaud Tuition Management  at https://parent.blackbaud.school or you can call Smart Tuition at (888) 868-8828 

    International families can submit payment by Flywire, wire transfer, or for assistance contact: Student Accounts Manager Dorothy Bloom at dorothy.bloom@sbs.org
  • Transportation

    This is just a friendly reminder to complete your requests for Bus Transportation. If you are using Public School Bus Transportation from your local district, please reach out to your local district's Transportation Department and fill out the documentation for transportation for the 2023-2024 academic year no later than April 1st.
  • Summer Classes

    Registration and the full summer 2023 course catalog can be found here.
  • The Portal

    The Portal ( my.sbs.org ) is the primary means for students and families to view information about class progress, assignments (including summer assignments), individualized calendars, school events, and other resources for day-to-day life at SBS. New families should receive their Portal logins before June 15, 2023.

    It is also how you will access the Health Forms, Handbooks and Back to School Forms

    Parents can use their email address as their username to log into the portal.  Students are required to log in with their SBS email addresses.

  • Health Forms

    All health forms will be available by the end of May and are to be submitted through Magnus Health via the Portal. Parents can access Magnus by logging into the Portal and selecting “Resources” and then “Magnus Health.” This is not required for students who applied to our Gravitas program (completely online for the whole year).



    Please note that students do not have access to Magnus Health. Through Magnus, you can download the forms, update vital health information, and access your submitted forms throughout the year. You will have the option to upload your forms online, fax or mail to Magnus to update your child's records. Please do not submit paperwork to the School.

    Given the current situation surrounding COVID-19, we understand that there may be some delays in scheduling your child's annual physical exam. Please do not hesitate to reach out if you find yourself in this situation, and we will work with you.

  • Back to School Forms

    Back to School forms will be available on the Portal by June 15. As families log in, they should see a yellow notification bar on the top of the page informing them of the forms that must be completed and their respective deadlines.
  • Summer Reading Assignments

    Summer reading assignments will be posted in late May. For specific assignments for your grade level, please refer to the Summer Reading section of the Portal, which can be found by clicking “Resource” and then “Back to School Information.”

  • Placement Tests for Math and Language

    Placement is usually determined by the student's transcript. However, the department chair may reach out to you and request a skills test to help confirm the correct placement.

  • Registering for Classes


    For new families, please submit the completed transcript from your child’s previous institution to the Registrar’s office. Students will need to submit their completed transcript before formally registering for classes at SBS. 

    Should your transcript indicate a need for math placement, our Math Department Chair will be in contact with you by early summer to arrange a skills test to assess the best placement in our math curriculum.

  • Textbooks and School Supply Lists

    You will find the textbook list for the 2023-2024school year posted on the portal on the Textbook Information resource board. Class materials are still being finalized and will be posted when they are available.
  • Technology Requirements

    The school does not specify any particular computing device. Each student should have access to an internet-ready computing device with a physical keyboard. Smartphones can be used for checking emails and looking up information, but each student will need another device that is larger than a phone for school assignments. We recommend that all students have a Windows or Mac laptop computer. Having a physical keyboard is especially important for writing assignments.  Internet access is necessary for checking email and completing assignments.

  • Packing List for Residential Students

    A student packing list is available here and also on the Portal under "Back to School Information."

  • New Student I20 & F-1 Visa Information

    We continue to monitor the latest guidance and information about this pandemic as it pertains to student immigration. We receive updates from the U.S. Student & Exchange Visitor Program (SEVP) and the Department of State (DOS). The U.S. government also makes these updates available for the public. If you would like to read this guidance directly, you may access it by visiting Study in the States: COVID-19 Resources.
     
    As the situation evolves, we encourage you to monitor visa processing and travel updates through your local U.S. consulate. For additional measures such as specific port-of-entry screening processes, as well as travel restrictions, please consult the Centers for Disease Control and Prevention (CDC), U.S. Department of State, and your local government agencies.
     
    Once the F-1 visa is received, please email a copy to our DSO. 
     
    If you cannot get an F-1 Visa or travel restrictions prevent you from entering the U.S. to start classes in August, please be in contact with our DSO at admissions@sbs.org.
  • Dress Code and Handbook

    The 2023 - 2024 Student Handbook will be available by June 15. The dress code can be found in the Student Handbook. 

    Gravitas students can also find a resource board that contains the SBG Student Handbook on the resource page as well.
